Why the total is usually higher than people guess

It is rarely one expensive tool. It is that practice software is sold on 5 different billing models, and they do not move together. Each one is tied to something different about your practice:

Per user, per month

Where these prices come from

The calculator covers 99 tools across 19 categories. Prices come from vendors' own published pricing pages where they publish one, and from public listings on Capterra and GetApp where they do not.

16 of those figures are estimates rather than published prices, and each is marked as an estimate in the tool with its source named next to it. We would rather show you a labelled estimate than leave a category out and hand you a total that looks lower than your reality.

Vendors change pricing without announcing it, and negotiated rates, contract terms and volume discounts all move the real number. Check anything that matters against the vendor directly before you act on it — and if you find a figure here that is wrong, tell us and we will correct it.

Very few practices set out to assemble a stack. What this calculator will not tell you

It compares subscription cost. It does not price the hours your team spends moving data between systems that do not talk to each other, and for most practices that is the larger number — it just never appears on an invoice, so it never gets counted.

It also cannot tell you whether a cheaper stack is the right one. A tool your team already knows has real value that does not show up here.
